Proposal and quote automation: sent the same afternoon

The call ends and the proposal goes out. Priced from your rate card, written in your voice, signed online and chased until it is answered. You bring the brief and the brand. Everything after that is ours.

From the call to the signature, all of it ours

Six steps, every one of them run for you. One approval from you, wherever you choose to put it.

  • The call, capturedWhat they asked for, what worried them, what they mentioned in passing. Pulled from the recording and the CRM record, never retyped.
  • Priced from your rate cardDay rates, bands, minimums and the rules that trigger them. Written down once, applied the same way on every quote.
  • Written in your voiceStructure, tone and the objections you always pre-empt, learned from the proposals you have already won with.
  • Assembled on your templateCover, scope, options, timeline and terms, with the right legal entity and the right names in every place.
  • Sent for signature the same afternoonOut for e-signature while the conversation is still warm, signable on a phone. The deposit invoice raises itself the moment they sign.
  • Chased until it is answeredA polite nudge at a sensible interval, stopping the moment they reply, and a note to you when one goes quiet.

Fast, with the controls you choose

Speed is the product. The controls are yours to set, and changing one is a setting, not a rebuild.

  • Approval where you want it

Every proposal, only those over a value you set, or none at all. Moving the gate is a setting, not a rebuild.

  • Odd jobs flagged, never guessed

A job outside your standard shapes comes back with the unusual lines marked for your price. Everything else is already done.

  • Fixed price, quoted first

You get the number in writing before anything starts. No day rates and no meter running.

  • In your accounts, under your name

Your CRM, your e-signature tool, your email. Nothing of ours to switch off if we ever part ways.

What we build it with

Best in class for each job, connected through your own accounts. The CRM you already run, the rate card in Sheets, e-signature on the document, and the invoice raised the moment it is signed.

  • HubSpot
  • Salesforce
  • DocuSign
  • PandaDoc
  • Sheets
  • Drive
  • Xero
  • QuickBooks
  • Stripe
  • Gmail
  • n8n
  • Claude

All of it runs in your own accounts, so nothing of ours needs switching off if we ever stop working together.

The night shift

Nobody in the building. This is the job doing itself at eleven at night, and what you see in the morning.

The proposal coming off the printer the same afternoon as the call, priced from your rate card.

Questions we get asked about this

How fast does a proposal go out?
The same afternoon as the call. The document is assembled while the conversation is still fresh in the prospect's mind, which is when it competes best. The four-day gap most firms live with is assembly time, and assembly is what we remove.
Does anything go out without us seeing it?
Only if you want it to. The approval gate is a setting: every proposal, only those over a value you choose, or none at all. Most clients approve everything in the first month while they watch the output, then move the threshold up. Wherever it sits, what you are approving is a finished, correctly priced document you skim in two minutes.
Our pricing is complicated. Can it handle that?
Yes. We write your rate card down as rules: bands, minimums, multipliers and the exceptions that currently live in one person's head. Once it is rules it is applied the same way on every quote, and it keeps working when that person is on holiday. Anything genuinely outside the shapes comes back with those lines marked for your price rather than guessed.
Does it chase after sending?
Yes, and chasing is where a lot of the value sits. A polite follow-up at a sensible interval, stopping the moment they reply, and a note to you when a proposal has been open too long with no answer. Most firms send proposals well and chase them badly.
What do you need from us?
The brief and the brand: your rate card, your proposal template and the last twenty proposals you sent. Plus access to the CRM and the e-signature tool. Everything after that is us.

Got a question the list did not answer? Ask it on a call, or send us the brief and we will come back with a fixed price.
